Please read carefully before booking as this may help to avoid any misunderstanding later.
Where When Wales Tours, "the Company" registered at 20 Longhouse Grove, Henllys, Cwmbran, Torfaen, NP44 6HQ, take our obligations seriously, and accept your booking as "the Customer" under the following terms and conditions.
Reservations must be confirmed by “the Company”, by issue of a booking or reservation reference number will represent confirmation.
For individuals and groups less than 8 persons: Full payment (100% of the reservation cost) is required. Payment is accepted by debit/credit card or by PayPal Account, processed by a secure PayPal link.
For Groups of 8+: 20% non refundable deposit is required to secure the reservation, the remaining 80% (or 100% of the reservation cost) payable within 28 days of the first tour departure date. Payment is accepted by card transaction or PayPal Account processed by PayPal link.
Cancellations and Refunds
”The Company” reserves the right to cancel any tour at its own discretion. In such cases the limit of “the Company's” liability to “the Customer” is the return of all monies paid.
"The Company" reserves the right to cancel any tour at any time if insufficient numbers are booked on any tour (usually 5 adults or equivalent). In such cases the limited of "The Company's" liability to "the Customer" is the return of all monies paid. As much prior notice as possible will be given but it may be as late as the day before.
Where “the Customer” cancels the tour reservation, then the effective date of cancellation will be the date “the Company” receives written notification by post or email. If a deposit has been made and stated as 'non-refundable, this shall apply. The total cancellation charge shall be payable by “the Customer” as detailed below.
Day Sightseeing Tours Cancellation Charges
a) For a cancellation notification received 28 days or more before first tour departure there is a 20% cancellation charge and 80% refund.
b) For a cancellation notification received 15 days or less than 28 days before first tour departure there is a 50% cancellation charge and 50% refund.
c) For a cancellation notification received less than 15 days before first tour departure there is a 100% cancellation charge and no refund.
Tickets are not transferable to any other tour, if you miss your scheduled tour.
Whilst “the Company” shall do everything reasonably possible to provide your tour itinerary as planned, “the Company” reserves the right to alter itineraries, transport or accommodation for whatever reason.
"The Company" may forward reservation to a 'like' tour company with as much prior notice as possible. Comparable itinerary and transport will be offered. Cancellation by "the Customer" in this instance will effect a refund amount of all monies paid.
Vehicle Access & Seating
Every passenger must be seated. The total number of passengers who will join the tour regardless of age must be booked and confirmed by "The Company". All infants and children under 1.35mm must be seated appropriately in a secure car/booster seat. In the event of any booking where a child has not be included in the reservation "the Company" may not accept "the Customer" if the tour is fully booked or no appropriate car seat is used or supplied by "The Customer"). "The Company" will not be liable to refund any of "the Customer's" party who does not travel on the tour.
Every passenger must be able to board a passenger carrying vehicle (coach or minibus) without any assistance from the driver or guide. We are unable to accept anyone who has mobility issues that prevent them from accessing and exiting the tour vehicle.
"The Company" may not accept any person under the age of 16 years. Any persons under 16 years must be accompanied by an adult. A maximum of 8 persons under the age of 16 years accompanied by an adult is acceptable.
“The Company” reserves the right to refuse passage to any person, at the commencement and during the tour, whose conduct or manner is likely to cause offence, upset or inconvenience to other passengers during the tour. In such cases full cancellation charges apply and “the Company” shall have no further liability to that passenger.
”The Company” will not accept or have any liability for any acts or omissions whether negligent or otherwise of any supplier or person providing services in connection with any tour, unless such a person is employed by or under the direct control of” the Company”.
The consumption or carry of any illegal drugs, by UK law, or consumption of alcohol to excess by "the Customer" will not be tolerated and will result in the possible abandonment from the tour. "The Company" will have no responsibility for compensation or liability thereafter.
Limited to one carry-on bag per person and what will fit comfortably under your seat. All luggage and personal items are carried free of charge but at the passenger's own risk. Any passenger who has more than a small carry-on bag, e.g. child 'buggy' must check with "the Company at least 3 days before departure to check if additional space is available.
”The Company” strongly recommends that “the customer” arrange suitable travel, luggage, medical and cancellation insurance to cover all tour dates.
Smoking is not permitted on coaches but there are frequent stops en route for passengers who wish to smoke.
Images and reports on face book, twitter and other media of /about you from tours, may be used in our marketing. Please let us know if you or any member of your party does not wish to be featured.
”The Company” does not accept any liability for any loss, inconvenience or damage caused by war, threat of war, riot or civil commotion, terrorist or criminal activity, industrial disputes, natural disasters, fires, sickness, weather conditions, road or traffic conditions, temporary technical, mechanical or electrical breakdown within booked accommodation or transport, explosion of, or radioactive contamination from, any nuclear facility or other events beyond the control of “the Company”.
These conditions shall be construed and interpreted in accordance within the Law of England and Wales and the Parties each submit to the jurisdiction of the relevant Courts.
